Job Description

*Admin Assistant for data entry – 1 position.
*Admin Assistant for warehouse checker – 1 position.
Responsibilities:
Admin Executive for data entry:
  • Provide accounting and clerical support to accounting department.
  • Provide support on paperwork & data entry to Sales department.
  • Assist to key in data into our system.
  • To handle invoicing billings & other related documents.
  • Ensure proper maintenance of records with appropriate supporting documents & filling in systematic.
  • To perform regular administrative routine duties such as purchase of Office Equipment.
From 1 of our admin data entry daily scenarios:
Morning ready with a cup of coffee that I got it from our pantry, starts with the work on company’s laptop, key in supplier invoice that received from email & collected from driver’s team into our system. In the meantime, I also support account dept to create PI, key in the required data entry.
After my break, (our break has 2 sections for your choice)
I start looking into my desk that may come with courier & logistic bills to check with. Supplier invoice to key in, claim form to write for claim, and vendor form from sales team that required my assistance to fill in and submission.
Just before the end of a day,
I will create cash sales into our system that came from sales team for accounting purpose. And lastly work on some admin tasks with colleagues.
Admin Executive for warehouse checker:
  • Provide support on paperwork to Store department.
  • To assist on warehouse & product related with colleagues.
  • Look into problem & then seek for solution to management.
  • Duties in keeping product SKU in accordance & in proper racking.
  • To perform regular administrative routine such as report & settle warehouse product issue.
From 1 of our admin warehouse checker daily scenarios:
Morning ready with a cup of coffee that I got it from our pantry, starts with the work with Sales team & Driver team assist to pick & pack ensure ctn loading is delivering to customer. In the meantime, I also support account dept to create PI, key in the required data entry.
After my break, (our break has 2 sections for your choice)
Before going up back to my desk, I will look for warehouse PIC, perform paperwork and record inc. stock if any. Meanwhile, to understand the required assistance and assist on stock placement is in good accordance. Seek for solution with your colleague when issue arise.
Just before the end of a day,
I will update stock qty in our system to ensure qty & system are tally. Checking on racking location in both physical by getting help from warehouse and system. And then to check and key in stock reservation 1 more time. Lastly, to perform any admin task with colleagues.

这是一位行政助理(负责account data entry)的日常:
上午从一杯咖啡开始(pantry里提供即溶咖啡),打开laptop开始回复supplier invoice和接收来自driver 和仓库的hard copy invoice 进行data 输入进我们的system。你也需要帮助来自account 部门的create PI和简单的分类输入,然后处理和计算invoice。
中午午餐后(午餐有两个时间点选择)
可以着手处理email / hard copy courier & logistic 和 supplier账单。处理claim form, 帮助sales create Vendor form和相关的文件处理。
接近放工时间,
会着手记录cash sales进system. 继续处理和计算invoice。最后,着手日常的admin工作例如进行预备要采购的相关文具。
关于一位行政助理 (负责仓库和整理)的日常:
上午不喝咖啡的话,我能选择到楼下对面的茶餐室买冷料。对接Sales team, Driver Team把今天的DO顺利出货。然后着手key in stock reservation, 处理来自email 和driver发来的supplier invoice。Account部门有时会需要我们的帮助key in 简单data.
中午午餐后(午餐有两个时间点选择)
我先需要去仓库找PIC了解当天他们在处理的事项,因为如果有货到,我需要把到货都记录在system。到货产品的各个事项和投诉我都需要了解,因为稍后我需要报告给上司让他定夺和尽快处理好让warehouse能进行得快和顺利。这是重要的一个环节。
接近放工时间,
我会继续在laptop更新stock qty。如果有到货,或者在warehouse看到货物排放有问题,我需要检查system 的racking location和着手处理。确保warehouse的货跟system是一致。最后,着手日常的admin工作例如进行预备要采购的相关文具。
